FREQUENTLY ASKED QUESTIONS

$180/m — What does "m" stand for?

The "m" = 1,000. $180/m equals $180 for 1,000 contacts (rows) of information on an XLS file. It does not stand for "monthly cost."

How often is your file updated?

We update our file every week of the year, adding new contacts and revised contact information regularly. We also have our full database hard bounce verified and cleaned three times annually by a third-party industry leader in database hygiene.

Why is your pricing so much lower than your competitors?

We don't carry the overhead and moving parts that our competitors do, and those savings are passed directly to our customers. There are no minimum orders, no additional charges for data selects, and no file delivery fees. All data is always unlimited-use for 12 months.

Do you have a minimum order amount?

No minimum orders or dollar amounts. We also provide file suppression at no cost.

How many hard bounces should I expect?

This can vary by demographics and job titles, but we never expect more than a 7% hard bounce rate on average. Any hard bounces exceeding 7% will be credited to the user's account (applies to the first email deployment of the leased file within 20 days of receipt). Choosing your email deployment provider carefully is critical. Platforms like Constant Contact and Mailchimp often yield lower deliverability for professional and institutional domains. We recommend a more boutique, specialized deployment company.

How is the data file sent and in what format?

The XLS or CSV file (depending on size) is automatically sent to your Physician Data account. This generally takes 1-3 minutes from the time of purchase when a credit card is used. If Invoice is selected as the payment method, we will release the file manually. Log into your Physician Data account, refresh your browser, and look for the download icon to access your file.

At the end of the 12-month lease, do I have to purge all leased data, including new customers I acquired?

No. Customers you have acquired through direct interaction from using our data are yours to keep. If you had interaction with a contact (a reply, phone call, or purchase), you may add them to your house file. A simple email open alone does not constitute use of the data as a house file beyond the lease period.

Can we bring the emails in-house and manage our own campaigns?

Yes. You have unlimited access to the file for 12 months. Simply upload the email and data into your CRM and market to your audience directly.

Do you deploy emails on behalf of your customers?

No. We are specific to our data vertical and do not provide email deployment services. Visit our Email Deployment page at https://physician-data.com/email_deployment for recommended boutique deployment providers that are familiar with our database and deliver strong results.

What are the CAN-SPAM compliance requirements?

Key CAN-SPAM requirements include: (1) Use accurate From, To, and Reply-To information. (2) Use non-deceptive subject lines. (3) Identify the message as an advertisement. (4) Include your valid physical postal address. (5) Provide a clear opt-out mechanism. (6) Honor opt-out requests within 10 business days. (7) Monitor and remain responsible for any third parties sending on your behalf.

Can I use the data for direct mail as well as email campaigns?

Is the data suitable for pharmaceutical and medical device marketing?

Additional fields may be available depending on your selected segment. Contact us to confirm.

Can I integrate the data with my CRM or marketing automation platform?

Do you offer an API for accessing physician contact data?

We do not currently offer a public API. Data is delivered as a flat file (XLS or CSV) to your Physician Data account. If you have a high-volume or ongoing data need, contact us to discuss custom delivery options.

What is the best time of year to market to physicians and healthcare professionals?

Healthcare professionals are reachable year-round, but campaigns tend to perform best outside of major medical conference weeks and holiday periods. January through March and September through November are typically strong windows. Avoid late December and major CME conference periods when open rates drop.

What open and click rates should I expect from physician email campaigns?

Physician email campaigns typically see lower open rates than general B2B campaigns due to high inbox volume and spam filtering in clinical environments. Well-targeted campaigns with strong, specific subject lines and relevant clinical or professional value typically see open rates in the 8-15% range. Deliverability and sender reputation are critical factors.

How do I improve deliverability when emailing physicians?

To maximize deliverability to physician email addresses: use a reputable B2B or healthcare-specialized deployment provider, authenticate your sending domain with SPF, DKIM, and DMARC records, avoid spam trigger words, keep image-to-text ratios balanced, and always include a physical address and clear unsubscribe link. Many physician inboxes are managed by enterprise health system IT security, so sender reputation and domain authentication are especially important.

Is physician contact data legal to purchase and use?

Yes. Purchasing and using professional contact data for B2B healthcare marketing is legal under U.S. law. Our data consists of professional contact information for licensed healthcare practitioners and administrators. All use is subject to CAN-SPAM compliance, and users marketing pharmaceutical or medical device products must also comply with applicable FDA and industry guidelines.

Is your physician data HIPAA compliant?

Our database contains professional contact information for physicians and healthcare providers, not patient health information. HIPAA (Health Insurance Portability and Accountability Act) governs protected patient health information (PHI), not professional contact data for healthcare practitioners. Our data does not include any patient records or PHI.

How is Physician Data different from a general data broker?

Unlike general-purpose data brokers, Physician Data is a specialized vertical database built exclusively for the healthcare and physician market. We maintain this database with dedicated weekly updates and triple-annual hygiene cleaning. Our vertical focus means deeper specialty coverage, higher contact accuracy, and more relevant selects than a general broker can provide.

Do you offer a data guarantee or credit policy?

Yes. If your hard bounce rate exceeds 7% on the first email deployment of a leased file within 20 days of receipt, we will credit the overage to your account. We stand behind our data quality and encourage customers to contact us with any concerns about their file.

How do I place an order on Physician Data?

Visit physician-data.com and use our Build-A-List tool to select your desired contacts by specialty, state, practice type, and other filters. Once your list is configured, proceed to checkout. Orders paid by credit card are delivered to your account within 1-3 minutes. Invoice payments are processed manually.

Can I preview or sample the data before purchasing?

Yes. We offer a sample request option so you can review a representative portion of our data before committing to a purchase. Visit physician-data.com/request_sample or contact us directly to request a sample for your target specialty or region.

What payment methods do you accept?

We accept all major credit cards and invoice (purchase order) payment. Credit card orders are fulfilled automatically. Invoice orders are processed manually. Contact us if you have specific payment or procurement requirements.

Can I reorder or refresh my list after 12 months?

Absolutely. Many of our customers renew annually to capture newly added practitioners, updated contact information, and specialty expansions. When your 12-month lease expires, you can reorder the same segment or adjust your selects. Contact us for assistance.

What is the difference between leasing and buying a physician data list?

When you lease a data list from Physician Data, you have unlimited use of the file for 12 months. At the end of the lease, you may not continue using contacts as a house file unless you have had direct interaction with them. Leasing is the industry standard and keeps pricing accessible while ensuring your data stays current.

How does Physician Data compare to AMA list rentals or other healthcare data vendors?

Major vendors like the AMA list rental program and large healthcare data brokers typically require larger minimum orders, charge for selects, and come with higher per-thousand pricing. Physician Data offers no minimums, no extra select fees, and competitive per-thousand pricing with the same depth of specialty and geographic coverage.

How do I write a cold email to a physician or healthcare professional?

The most effective physician cold emails are brief, clinically or professionally relevant, and lead with value. Reference a specific challenge facing the specialty (administrative burden, prior authorization delays, patient outcome goals, practice efficiency) and explain how your product addresses it in one or two sentences. Avoid overly promotional language. Subject line clarity and sender credibility are especially important in healthcare inboxes.

How do pharmaceutical and medical device companies typically reach physicians?

The most effective channels for physician outreach include targeted email campaigns using verified contact data, medical conference presence (AMA, specialty society meetings), peer-reviewed journal advertising, direct mail for high-value targets, and digital advertising on medical professional platforms. Email outreach using accurate, specialty-segmented data remains one of the highest-ROI channels for B2B healthcare marketers.

Do you offer refunds?

Because our data is delivered digitally and immediately upon purchase, we do not offer refunds on completed orders. However, we stand behind our data quality. If you experience hard bounce rates exceeding 7% on your first deployment within 20 days of receipt, we will credit the overage to your account. Contact us if you have any concerns.
